Important note: This statement is only for WebinarGeek customers. It doesn't apply to participants or viewers of webinars hosted on our platform.

We are very aware that we are processing confidential data and that is why we manage the data we collect from you in the same manner that we would want other businesses to manage ours.

We collect data in order to provide better services to all users. Data collection takes place in the following ways:

When you fill out a form on our website and submit it or when you apply for our services, we ask you to provide personal details, such as your name, email address and phone number. We use this information to provide our services. The data is stored on secured servers owned by WebinarGeek or by a third party (with whom we have a data processing agreement).

We collect data about the use of our website and services. This data includes:

Log file data

When you visit our website or use our services, we automatically save certain information in server log files. This data includes:

  • Details about how you use our website or services, such as search queries.

  • IP address – More information can be found under “How we use collected data”.

  • Cookies that can be used to identify your browser or WebinarGeek account.

Both we and the advertising platforms we employ use various technologies to collect and store data when you visit our website or application. 2. How we use collected data

We use the collected data to provide, maintain, secure and improve our service, to develop new services and to protect WebinarGeek and our users. We also use this data to offer you personalized content, such as relevant content on our website and in our emails and advertisements, in order to improve the overall quality of our services.

Personal data is not made public or shared with third parties, except for the purpose of data storage on servers owned by third parties. We have made data processing agreements with these third parties to ensure the security of your data. We always ask your permission before using your data for any purpose other than the ones described in this Privacy Statement.

Below you will find additional information about the software we use on our website and applications, and how this software could make use of your data:

Google Analytics / Universal Analytics

  • We use Google Analytics to analyze the traffic to our website and the WebinarGeek application. We have not given Google permission to use the information acquired through analytics for other purposes. The following data-sharing settings in our Google Analytics account have explicitly been disabled:

    • Google products and services

    • Benchmarking

    • Technical support

    • Account specialists

  • The information collected by Google is anonymized as much as possible. This includes enabling the option IP Anonymization in our Google Analytics account.

  • The collected information is transferred to and saved by Google on servers in the United States. Google states that it is compliant with the EU-U.S. and Swiss-U.S. Privacy Shield Frameworks.

  • Our website and application use Google Analytics as well to serve (remarketing) advertisements in the Google Display Network.

  • Additionally, our Google Analytics account collects demographics and interests data from the Third-party DoubleClick cookie (if present ).

Intercom

  • We use Intercom as a medium for support and communication through chat, email or messages within our product. If you reach out to us through any of these options, we will save your messages in order to help you resolve the problems you have encountered. We also use Intercom to collect data for analytical purposes when you visit our website or use our application(s).

  • Enrichment – As part of its service, Intercom also collects public contact information and social information based on your email address.

  • The collected information is transferred to and saved by Intercom on servers in the United States. Intercom states that it is compliant with the EU-U.S. and Swiss-U.S. Privacy Shield Frameworks.

Pipedrive

  • We use Pipedrive to collect data for analysis purposes when you use our application(s).

  • The information collected is transferred to and stored by Pipedrive on servers within the EEA.

Asana 

  • We use Asana as a medium for our CRM system. When you take out a subscription with us, your contact details will be saved in Asana.

  • The information collected is transferred to and stored by Asana on servers outside the EEA. Asana claims to adhere to the EU-US Privacy Shield principle and the Swiss-US Privacy Shield principle.

Rinkel

  • We use Rinkel to contact you by phone. Our conversations are not recorded.

  • The collected information such as your telephone number is transferred to and stored by Rinkel on servers within the EEA.

Sparkpost

  • We use Sparkpost to communicate with our users through email, specifically for sending email messages within our product.

  • The collected information, such as your email address, is transferred to and saved by Sparkpost on servers in the EEA.

  • The collected information is transferred to and saved by HubSpot on servers in the United States. HubSpot states that it is compliant with the EU-U.S. and Swiss-U.S. Privacy Shield Frameworks.

Social media such as LinkedIn, Facebook, Twitter and YouTube

  • Our website contains buttons that can be used to easily share pages and articles on social networks, such as LinkedIn, Facebook, Twitter and YouTube.

  • The code used for these buttons comes from LinkedIn, Facebook, Twitter and YouTube. These codes usually adds a cookie (see our cookie statement). 3. The options we offer. For example, how you can open and edit data

We offer everybody the possibility to consult, edit or delete personal information that has been provided to us. That way you can always view, edit and/or delete your WebinarGeek profile in our request for inspection portal. Through the same portal you can also send us a general request for inspection. By doing so, you request that we give you access to all your personal information that we have saved in all of our systems, such as our customer relationship, marketing and administrative system.

Please understand that, given the number of systems that need to be checked, processing a general request for inspection may take some time. We strive to respond to your request within 20 business days.

Option: Do not track / opt-out Google Analytics

You can opt out of Google Analytics Display ads and/or change your settings here. We would also like to point you to the Google Analytics Opt-out Browser Add-on that you can use to prevent your data from being collected and used by Google Analytics.

Option: Unsubscribe from Intercom messages

You can unsubscribe from messages that are sent through Intercom. The unsubscribe link can be found in the messages.

4. Data we share

We do not share personal details with companies, organizations and individuals outside of WebinarGeek, except in the following circumstances:

  • With your permission – We share personal data with companies, organizations or individuals outside of WebinarGeek if you have given us permission to do so.

  • For external processing – We provide personal data to our partners or other trusted companies or individuals, so they can process the data for us, based on our instructions and conforming to our Privacy Statement and other relevant confidentiality and security measures.

  • For legal reasons – We share personal data with companies, organizations or individuals outside of WebinarGeek if we believe in good faith that access, use, maintenance or publication of the data is reasonably required. For example, in order to comply with relevant laws and regulations, legal procedures or appropriate requests from government bodies.

If WebinarGeek is involved in a merger, acquisition or sale of assets, we will continue to safeguard personal data and inform the users concerned before personal data are transferred or subjected to a different privacy statement.

5. Data protection

We work hard to protect WebinarGeek and our users from unauthorized access to or unauthorized editing, publication or destruction of data that are stored by us. In particular the following apply:

  • All services are coded with SSL.

  • We evaluate our practices regarding the collection, storage and processing of data, including physical security measures, as protection against unauthorized access to systems.

  • We limit the access to personal data for WebinarGeek’s employees, contractors and agents who need this data in order to process them for us. These persons are subjected to strict contractual confidentiality obligations and may be penalized or dismissed should they fail to meet these obligations.

  • WebinarGeek’s servers are housed at data centers that are located exclusively in the EEA. WebinarGeek makes use of data centers of DigitalOcean and Amazon Web Services.

When this Privacy Statement is applicable

Our Privacy Statement applies to the Service and all services that are offered by WebinarGeek, but not to services with a separate privacy statement in which this Privacy Statement is not included.

Our Privacy Statement does not apply to services that are supplied by other companies or individuals. Our Privacy Statement does not cover the data policy of other companies and organizations.

Changes

We may change this Privacy Statement from time to time. We will not reduce your rights under this Privacy Statement without your explicit consent. All changes to the Privacy Statement are published on this page and, if changes are significant, we will provide a more prominent notice (for example by email). We also save previous versions of this Privacy Statement.

Right to object

If you do not agree with the manner in which we process your personal data and we cannot sort the matter out between us, it is possible to lodge a complaint with your local GDPR supervisory authority.

Questions and feedback

Q: Does this privacy statement apply to the viewers of my webinars?

A: No, this privacy statement only applies to our customers. Data handling for webinar participants and viewers is covered separately in our Data Processing Agreement.
